Approve wholesale customers with Onboard B2B

Move a wholesale approval program to Shopify B2B with Onboard B2B, Helium's sister app.

If you approve wholesale customers with Customer Fields, switching to Shopify's Customer Accounts is a good time to move that program to Shopify's own B2B features. Our sister app, Onboard B2B, handles the application, approval and access control, and creates real Shopify B2B companies.

Creating B2B companies with Customer Fields and Shopify Flow is no longer supported. Those Flow actions still run for now but will be shut down at a date we'll announce.

Why Shopify B2B

With Shopify's B2B features, a wholesale customer belongs to a company, and each company location can have its own catalogs, prices and payment terms, with no tags or theme code needed. B2B requires Shopify's Customer Accounts, and some features need Shopify Plus. See Shopify's B2B plan features.

What Onboard B2B does

Onboard B2B collects wholesale applications, lets you approve them into Shopify companies, locks your storefront and checkout to approved buyers, and lets those buyers manage their own company. Use only the features you need.

Application form

Collects contact, company and location details. You can customize it in Onboard B2B's form editor, for example by adding your own fields, which are saved as metafields on the company in Shopify. Customers fill it in on a page in their customer account, or on your online store, where guests can apply too. See Install the application form.

Approval

Review an application with Start approval, or reject it with Reject and allow revision so the customer can fix and resubmit. Approving creates the Shopify company, makes the applicant its main contact and sets payment terms, plus catalogs on Shopify Plus. Form rules or Shopify Flow can approve applications automatically.

Storefront lock

Shows a sign-in prompt to guests and non-B2B customers, so only company contacts can browse and see prices. See Install storefront lock.

Checkout lock

Stops guests and non-B2B customers from completing checkout, even if they reach it. See Install checkout lock.

Company self-manage

Lets customers with the Location admin role manage their company's contacts and locations.

For plans and pricing, see Onboard B2B pricing & plans.

Moving from Customer Fields

  1. Install Onboard B2B and follow its setup guide.

  2. Rebuild your wholesale application in Onboard B2B's form editor. Customer Fields forms don't carry over.

  3. Install the application form, and the storefront lock or checkout lock if you need them.

  4. Once applications go through Onboard B2B, remove the Customer Fields wholesale form and turn off any Flow workflows that used Customer Fields' B2B actions.

Wholesale customers you've already approved aren't moved automatically. Add them as Shopify companies, or import companies from a CSV file in Onboard B2B.

You can keep Customer Fields for other forms, like collecting extra details from retail customers. See Collect customer information in Shopify's Customer Accounts.
